Please ensure you fully read Flinn Cottage's Terms and Conditions. Guests fully accept the terms and conditions set out below, by booking Flinn Cottage and paying their deposit or by paying in full.
TERMS AND CONDITIONS
All offers and bookings are subject to availability. The person making the booking must be 18 years of age or over at the time of booking. A deposit of £100 is payable as a deposit at the time of booking. We can only provisionally hold Flinn cottage bookings for five days without a deposit. Bookings are not confirmed until a deposit or the full payment has been received. The balance payment is due six weeks before the start date of your holiday. On receipt of this payment we will send you additional information and directions. For bookings made within six weeks of arrival the full cost of your holiday is due at the time of booking. If the balance of the holiday is not received in full six weeks prior to arrival we reserve the right to re-advertise the dates booked.
Flinn Cottage will send details of how to pay the deposit and balance of your holiday. Please do not respond to emails or telephone calls purporting to inform you that the bank details have changed. Please telephone the owner of Flinn Cottage to double check bank details before making payment. No emails will be sent from a third party email account.
Short breaks are available at Flinn Cottage at certain times of the year and for a minimum of 3 nights. Please contact Flinn Cottage for prices and availabilty.
ARRIVAL AND DEPARTURE
Flinn Cottage will be available from 3pm on the day of arrival and must be vacated no later than 10am on the day of departure.
NUMBER OF PERSONS USING THE PROPERTY
No more than the stated maximum occupancy level of any cottage may be exceeded at any time. We reserve the right to ask guests to leave Flinn Cottage if the maximum occupancy is exceeded.
Dogs are free of charge. Flinn Cottage allows two dogs, unless otherwise agreed by the owner of Flinn Cottage. No pets other than dogs are permitted at Flinn Cottage. Please do not leave your dog(s) unattended in the cottage at any time. We regret that we cannot accept puppies. Your dog must be kept under control at all times. It must not be allowed on any of the furniture or in the bedrooms. Dogs must be fully house trained and be kept on a lead at all times when outside the cottage. Your dog must not be allowed to foul the grounds, interfere with farm stock or the enjoyment of the holiday of other visitors. Please ensure that your dog is free of fleas before arrival. The cottage will be checked for damage prior to and after departure. If your dog(s) damages the property you will be charged an additional fee to make right the damage. Please ensure the garden is clean of all dog mess before you leave. Flinn Cottage is not advertised as a secure garden for dogs. The owner of Flinn Cottage will not be liable or responsible for any loss, accidents or illnesses to your dog(s) however caused.
Smoking is not permitted at Flinn Cottage.
CARE OF PROPERTY, BREAKAGES AND DAMAGE
We ask that care is taken with the property, both the cottage you rent and anything else on the premises. If accidental damage of a minor nature should occur, you will not normally be charged, but the party leader will be liable for damages not classified as such. Your cottage will have been thoroughly cleaned and inspected before you arrive. You agree to keep the accommodation clean and tidy and leave the property in a similar condition. We reserve the right to refuse to hand over to you, or to repossess the accommodation if we reasonably believe that any damage is likely to be caused by you or your
party or can repossess the accommodation if damage has been caused. These circumstances will be treated as a cancellation by you.
We agree to provide the property in a good state of repair and condition and furnished and equipped to a good and proper standard. We also agree to rectify as quickly as possible any problems which arise with the property during your hire. In return we ask that you leave the property in a clean condition and to report any breakages/damage before departure.
CANCELLATION AND INSURANCE
All monies paid are non-refundable, unless we are able to re let the property. In such a case, if just the deposit has been paid, it will be refunded less an administration fee of £25. If the full amount has been paid, we will refund the amount that we are able to re-let the cottage for, less an administration fee of £25
The owner of Flinn Cottage will not be liable or responsible for any loss, damage or breakage to baggage or personal belongings however caused.
The owner of Flinn Cottage will not be liable or held responsible for any loss, damage however caused to vehicles or their contents.
Flinn Cottage does not supply any child safety equipment or travel cots. Guests are welcome to bring their own equipment at their own risk. The owner accepts no responsibility or liability if this equipment is brought and used by guests in Flinn Cottage
Flinn Cottage strongly advises you take out Personal Travel and Cancellation Insurance.
MATTERS BEYOND OUR CONTROL
You must take all necessary steps to safeguard your personal property and no liability to you is accepted in respect of damage to or loss of such property.
As guests at Flinn Cottage using broadband facilities, guests agree that they will not use the service for unlawful or illegal purposes.
Hot tubs are not allowed at this property. Guests are prohibited from bringing with them or hiring hot tubs during their stay at Flinn Cottage
Utility charges are included in the tariff.
Only logs supplied (April-October) by the owner should be used in the log burner at Flinn Cottage. Please do not burn wood on the Wood Burner that is collected from woods or the beach.
One bath and one hand towel is provided per guest. Two tea towels are also provided. No beach towels are provided.
A welcome pack will be at the cottage to welcome you and your dogs.
Bev is on hand to answer any questions/queries that you may have and it is our desire to make your stay at Flinn Cottage as relaxing and memorable as we can.
Your Data and Your Privacy
We have to collect and keep secure certain information that identifies you, known as Personal Identifiable information (PII).
We are fully committed to protecting your privacy. Changes to the data protection laws May 2018 and the introduction of General Data Protection Regulation requires us to provide the information shown below regarding the processing of your personal identifiable information.
Who we are:
We provide a holiday rental property knows as Flinn Cottage. This is owned, run and managed by Beverley Howells. Flinn Cottage is located in Ludchurch, Pembrokeshire, SA67 8JQ.
What Data We Collect:
We accept booking via telephone calls and email and as such, certain personal information is received, including name, address, telephone numbers, email address and other such information regarding a booking such as number of guests, age of children if applicable and if any pets are in the party.
Your IP address is also included in your emails that you send which is also classed a PII.
We do NOT collect any financial information that would be financially sensitive to you. All payments made via bank transfer or through card payment are secure via your own bank and ours. We never see, need or store this information.
Why do we collect Data:
There are a few reasons for collecting and storing information, the headings for this are as follows:
We collect information that we need, in order to answer booking enquiries made regarding our holiday accommodation. We collect telephone numbers and email address so to contact you immediately if there is a need to.
Accounting and Tax
We use information to enable us to produce figures so to meet our legal obligations for accounting and tax.
We analyse information in order to look at booking trends and how we obtained these bookings. This could be either via email, website, social media or a listing site. This helps us to make decisions regarding the best way to market the property.
Direct Marketing and Mailshots
We do not use direct marketing or mailshots and as such do not hold information such as a mailing list.
How do we store any Data
Copies of emails are stored on our own password and firewall protected laptop and on the secure server from our email provider. We also have a secure server for our website domain.
How long do we keep Data
We keep copies of the emails for a period of 6 years for accounting and tax purposes.
How we protect Data
If you make payment via bank transfer your bank will secure this - please see the padlock sign on the webpage. Our own bank also secures your data and this is not shared by them to us.
